Advancement Services Manager


Position Summary

The Advancement Services Manager is responsible for managing the advancement department’s fundraising database (Veracross.) They will oversee the donor acknowledgment, identification, recognition, and stewardship program and will also serve as the advancement department’s office manager.

Primary Job Responsibilities
  • Manage and oversee information contained in the Veracross database. Document best practices and enforce protocol for data entry to ensure accurate donor data
  • Input and acknowledge all gifts and maintain records of acknowledgment letters
  • Educate and train staff and volunteers on database use
  • Generating database reports and campaign and annual gift tracking and analysis for development staff and Board of Trustees
  • Organize and manage campaign and annual giving pipelines in Veracross
  • Coordinate all direct mail appeals
  • Generate capital campaign pledge reminders, track pledge payments, and follow up on outstanding pledge cards
  • Pull and organize donor lists for the Annual Report
  • Compile INDEX data annually and complete INDEX survey requests
  • Maintain all related financial materials, ensuring that all gift acceptance and management policies and procedures are followed with care
  • Prepare written materials, including correspondence, solicitation and proposal materials, acknowledgments, regular communications, scholarship reports, and moves management reports
  • Act as office manager: order supplies, maintain storage spaces, and assist with general administrative tasks as needed.
  • Uncover new donors through prospect research methods such as data screening and analysis of external wealth information sources
  • Develop and communicate prospect research, management, and lead information to appropriate frontline fundraisers
  • Author and edit prospect research manuals, reports, and other documents as needed
  • Assist in planning advancement department events, including managing the biennial auction software and database

Skills and Requirements
  • Bachelor’s degree preferred
  • Non-profit fundraising experience preferred
