Coordinator, Administrative Program


Job Summary

The Advancement Support Coordinator works with the Principal and Major Gifts Team on implementing activities ensuring department goals and objectives. This position supports fundraising activities through duties related to administrative support, managing the Proposal Calendar, reporting, data management, editing and preparing proposals, internal and external customer service, event organization, and occasional writing projects. Additionally, this position works with multiple colleges and units. This role must exercise independent judgment and initiative in performing these duties and demonstrate a high level of confidentiality.

Job Responsibilities

The Advancement Support Coordinator role is responsible for performing activities supporting fundraising operations within the University Advancement Principal and Major Gifts team.

Oversees daily program operations and coordinates office administrative activities.

Coordinates limited submission proposal process, deadlines, and review.

Develops and implements program goals and objectives.
Monitors program process quality and effectiveness and research improvement methods.

Establishes program budget; purchasing card reallocation, monitors and approves related Expenditures and ensures budget goals are met.

Assists with grant writing and other fundraising activities.
Advises staff, others regarding program policies, goals, practices, and related major and principal gift donor engagement.

Prepares reports, financial statements and records on program status and progress for donors.

Writes and edits program related publications and stewardship materials.

Oversees the scheduling of meetings, events, and other program related functions.

Identifying and communicating ways to assist in accomplishing to-do items whenever possible.

Assisting with travel arrangements


Bachelor’s degree in a related field plus one year directly related experience or equivalency required (2 years related work experience may be substituted for 1 year of education). Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.

Must have excellent communication skills.
This is an autonomous position, so you should be self-sufficient and self-motivated. It’s also a creative role, so you must be able to gracefully receive criticism and feedback about your work.
