The Development Specialist works with the Senior Director, Principal Gifts, and the Associate Director of Major and Corporate Gifts on executing major gift and corporate philanthropy strategic plans. This position supports these programs’ fundraising activities through duties related to the Proposal Calendar, prospect research and identification, reporting, data management, editing and preparing proposals, internal and external customer service, event organization, and occasional writing projects. Additionally, this position works with multiple colleges and units. This role must exercise independent judgment and initiative in performing these duties and demonstrate a high level of confidentiality.
Incumbents have the latitude to coordinate specific programs, including negotiating fees with vendors and making volunteer and support staff assignments for fundraising events. This position does not directly supervise others. Challenges include ensuring deadlines are met and assisting with the development of fundraising strategies for an entity not commonly regarded as a source of funding.
1. Proposal and Pre-proposal Process: Coordinates Advancement Office major gift and corporate philanthropy activities by notifying campus entities of pre-proposal deadlines, letter of Intent due dates, post-grant reports, etc. Compile and prepare pre-proposals for University administration or external constituent review and approval. Work with the Senior and Associate Directors to field questions from campus areas regarding proposal submissions. Notify campus areas of decisions regarding pre-proposals and proposal awards. Review, edit and coordinate submissions to foundations and maintain organized electronic and hard copy files for all local corporations and foundations on the University giving calendar. Additionally, coordinate post-grant reports with the campus areas. Use discretion and professionalism in dealing with confidential information. Work with grants system and prepare summaries.
2. Deadline Calendar and Proposal Operations: Create, maintain and update major gift and corporate Limited Submission Calendar, which requires research on pertinent entities. Create funding requirement checklists for each foundation on the awards calendar, as well as track proposal progress. The incumbent will centrally send out all RFPs and internal calls for pre-proposals and manage a post-grant report calendar.
3. Prospect Qualification: Perform occasional research to understand the strategic plans and initiatives of targeted individuals and organizations and provide high-level strategic analysis and recommendations for advancement staff University-wide. Participate in strategy sessions on major gift and corporate goals, priorities, and activities; manage the process of compiling area ideas. Identify and research funding opportunities, request for proposals, news, and grant databases to support University priorities and collaborations. Assist Major and Principal Giving Advancement staff to perform timely proposal-related qualification functions and collaborate with the Prospect Research team on prospect research as necessary. Maintain the confidentiality of prospect information to ensure integrity and privacy.
4. Donor Events/Special Projects: Plan, organize, implement, and evaluate donor events (in coordination with the Donor Relations team) and donor site visits. Ensure events adhere to applicable state and university regulations, policies or guidelines. Assist with budgets; monitor expenditures and ensure the receipt and recording of various fees associated with events are accurate. Plan events and coordinate stewardship for donors such as special passes, parking, etc. This role works closely on principal gifts, donor recognitions and stewardship.
5. Donor and External Interactions: Assists with the design and implementation of new donor cultivation ideas and programs. Evaluates effectiveness and make recommendations for change. May interact with donors and external constituents regarding processes. Prepares proposals by performing research, coordinating with funders, and writing the proposals. May represent the department /college or University at various community meetings and events.
6. Information – Website/Customer Service: Identify and maintain information on donors and prospective donors using the Unite database. Maintain advanced knowledge and understanding of the foundation community and grant-making trends, including ongoing research on local funders regarding funding priorities, grants to similar organizations, dollar range of grants funded proposals, deadlines, board and staff contacts. Help identify organizational contacts for acknowledgment letters and stewardship and update this information in the database. Manage Major and Principal Giving website/intranet information. Prepare donor profiles and materials for meetings and outreach. Evaluate web-tool effectiveness and help develop content for area development officers and faculty. Field questions relating to proposals and major gift and corporate prospects from the campus areas.
7. Advancement Writing: Assist with cover letters, case-statements, and proposals to major funders from the President, University Advancement VP and other campus leaders. Occasionally work with units across the University to create donor-centric written materials, including case statements, proposals, reports, and briefs, to support the cultivation, solicitation, and stewardship efforts for principal giving prospects and donors.
8. Administrative Support: Provide day-to-day administrative support for the Senior and Associate Directors. This may include, but is not limited to, organizing calendars and meetings, reconciling budgets, entering the local organization and major gift plans into Unite, managing submittable forms and submissions from campus areas, and coordinating with campus partners.
Other duties as assigned.
Bachelor’s degree in Communications, Public Relations, Marketing, or a related field, or equivalency; and demonstrated human relations and effective communication skills required. Experience which includes fundraising, grant and publication writing, planning and implementing special events and programs and a successful track record in raising donations is preferred.
3-5 years related experience in higher education, fundraising, non-profits, or business; a self-starter who takes initiative and can work independently to solve problems. Customer service experience preferred. Proficiency in basic office skills (Microsoft Outlook, Word, Excel) and time management preferred.
